Privacy policy

What Beehivemind records, why we record it, and what you can ask us to do about it.

Beehivemind is a beekeeping records system. Almost everything we hold is data you deliberately entered about your own hives, and it stays yours. This page explains the rest.

What we collect

Your account

Your name, email address and country. The country is optional and we ask for it only to set sensible defaults. If you sign in with Google we receive your name, email and profile picture from Google and nothing else.

Your beekeeping records

Apiaries, their coordinates, beehives, groups, inspections, feedings, harvests, treatments, costs and to-dos. Apiary coordinates are a location you place on a map yourself — the app does not track your device.

Voice recordings

Speech recognition during an inspection runs on your phone. Audio is processed on the device and is not uploaded; what reaches our servers is the recognised inspection data, not the recording. Recordings are held on the device only until the inspection is uploaded.

Technical data

When you use the website or the app we log the request, the time and an approximate location derived from your IP address, so we can keep the service running and investigate faults.

Why we hold it

  • To provide the service. Your records exist so the app can show them back to you, chart them and sync them between your phone and the website.
  • To keep your account secure. Sign-in history and two-factor settings.
  • To bill you, if you are on a paid plan. Payment details are handled by our payment provider; we never see or store your card number.

The specific lawful basis for each of these under the GDPR needs to be stated here, and confirmed by a specialist, before publication.

What we never do

  • We do not sell your data.
  • We do not share your hive records with other beekeepers, associations or authorities.
  • We do not use your inspection data to advertise to you or to anyone else.

Who else touches it

A small number of providers process data on our behalf: hosting, email delivery, error reporting, our support portal, and the map provider that renders apiary locations. Each is bound by a processing agreement and may use the data only to provide their service to us.

The named list of processors and their locations belongs here. It has to be accurate, so it needs filling in from the actual infrastructure rather than assumed.

How long we keep it

Your records are kept for as long as your account is open, because beekeeping data is only useful across seasons. If you delete your account we remove your personal data and your records; backups age out afterwards on a fixed schedule.

The retention and backup periods need real numbers, taken from the infrastructure, not placeholders.

Your rights

Under the GDPR you can ask us for a copy of your data, ask us to correct it, ask us to delete it, or object to how we use it. You can export your records at any time from your account, and delete your account yourself from the profile page.

To exercise any of these, write to us through the support portal. You also have the right to complain to the Hellenic Data Protection Authority.

Children

Beehivemind is a tool for a working business and is not intended for anyone under 16.

Changes

If we change this policy we will update the date at the top of this page, and tell you by email when the change is significant.
