Terms of service
The agreement between you and Beehivemind: what we owe you, what you agree to, and what happens to your records if either of us walks away.
These terms apply when you use the Beehivemind website, the web app or the mobile app. By creating an account you accept them. If you are using Beehivemind on behalf of a cooperative or a business, you confirm you are allowed to accept them for that organisation.
The legal entity behind Beehivemind belongs here — registered name, company number, registered address and VAT number. A terms page without a named counterparty is not an agreement.
1. The service
Beehivemind is a record-keeping system for beekeepers: apiaries, hives, inspections, feedings, harvests, treatments, costs and reminders, recorded by voice or by hand and synchronised between your phone and the website.
It is a tool for keeping records. It does not give veterinary, agricultural or financial advice, and a reading it shows you is whatever was recorded, not a diagnosis.
2. Your account
Eligibility
You need to be 16 or over and able to enter a contract. One account belongs to one person; a cooperative with several beekeepers uses several accounts under one operation rather than sharing one.
Keeping it secure
You are responsible for your password and for anything done through your account. Two-factor authentication is available and we recommend it, particularly on an account that other people can see. Tell us promptly if you think someone else has access.
Accuracy
The email address on the account has to be one you can read, because it is how we reach you about billing and about changes to these terms.
3. Plans and payment
The free plan
One apiary and up to ten hives, free, with no time limit and no card required. It is not a trial that expires.
Paid plans
Paid plans are billed monthly in advance. Prices are shown on the plans page and include or exclude VAT as stated there.
Needs real values: the currency, whether prices are VAT-inclusive, the payment provider by name, and what happens to a payment that fails — how many retries, and how long before the account changes state.
Changing plan
You can move up or down at any time from your profile. Moving up takes effect immediately and is charged pro rata; moving down takes effect at the end of the month you have paid for.
Coupons
A coupon from a cooperative or an event applies at checkout, for the period stated on it, and cannot be combined with another.
Refunds
The refund position needs a decision before it can be written, and EU consumer law sets a floor on it — a customer in the EU has a fourteen-day right of withdrawal on a digital service unless they have waived it explicitly.
4. Your records are yours
Everything you enter about your own beekeeping stays yours. We hold it so the service can show it back to you. We do not sell it, we do not share your hive records with other beekeepers or with authorities, and we do not use them to advertise.
You can export every inspection, harvest, feeding and cost you have entered, on every plan including the free one, at any time.
Going down a plan never deletes a record. If you move to a plan whose limits your data exceeds, the apiaries over the limit become read-only until you remove one or move back up. They are not erased.
One number needed: how long a closed account's data is retained before deletion, and how long backups hold it after that. The privacy page needs the same figure and it has to be the same figure.
5. What you give us permission to do
To run the service we need a limited licence to store, copy and display your records — that is what showing you your own data on two devices requires. It goes no further than operating Beehivemind for you, and it ends when you delete the data or the account.
Speech recognition during an inspection runs on your phone. Audio is not uploaded, so we take no licence over recordings.
If aggregated, fully anonymised data is ever to be used for research, benchmarking or product improvement, that has to be stated here explicitly and separately — and a beekeeper needs to be able to say no to it. Silence is not consent.
6. What you agree not to do
- Use another beekeeper's account, or share yours.
- Try to break, overload or reverse-engineer the service, or reach data that is not yours.
- Upload anything unlawful, or anything that infringes someone else's rights.
- Resell access to Beehivemind, or rebuild it from an automated extraction of it.
Reading your own data out through the export or the API is not extraction. That is the point of it.
7. Availability and support
We keep the service running and fix faults, but we do not promise it will never be down. Maintenance happens, and the mobile app is built to keep recording without a connection precisely because signal in an apiary is not something either of us controls.
Whether a paid plan carries an uptime commitment or a support response time is a commercial decision. If it does, the figure goes here; if it does not, say so plainly rather than leaving it open.
8. The app stores
The mobile app is distributed through Google Play and the App Store, and their terms apply to the download alongside these. Apple and Google are not party to this agreement and provide no support for Beehivemind.
9. Ending the agreement
By you
Cancel a paid plan at any time from your profile; it stops at the end of the month you have paid for. You can delete your account yourself, and we recommend exporting your records first.
By us
We can suspend or close an account that breaks section 6, or whose payment has failed and stayed unpaid. Except where the law requires immediate action, we will tell you first and give you a chance to put it right — and to export your records.
If we stop offering the service
A wind-down clause belongs here, and for a records product it matters more than usual: how much notice, and how long the export stays available. A beekeeper's data covers seasons, so a fortnight is not a serious answer.
10. Liability
To be written by a lawyer. The shape is a warranty disclaimer, a cap on liability, and the carve-outs that Greek and EU law do not allow to be excluded — but the wording of this section is the one place on this page where getting it approximately right is worth nothing.
What we will say plainly, whatever form the clause takes: keep your own copies of anything you cannot afford to lose. The export exists for that.
11. Changes to these terms
If we change these terms we will update the date at the top and, for a change that materially affects you, email you before it takes effect. Continuing to use Beehivemind after that means you accept the new version. If you do not, you can close your account and take your records with you.
12. Governing law
Governing law and the competent courts, to be confirmed with the company's actual registration. If Beehivemind is a Greek company, note that an EU consumer keeps the right to sue in their own country regardless of what this clause says.
